Last Updated: September 5, 2025
1. Who we are
This policy explains how the Dan Olesen for Ward 1 (Calgary) municipal campaign (“the Campaign”, “we”, “us”) handles personal information collected during campaign activities. The Campaign is a nonprofit municipal election campaign. Alberta’s Personal Information Protection Act (PIPA) may apply to some activities (e.g., commercial activities). Regardless, we follow privacy practices consistent with PIPA and have designated a Privacy Officer (see Section 13).
2. Scope
This policy applies to personal information we collect through our website and forms; by email, phone, or text; on our social media pages; via third-party tools we use for events and outreach; and during in-person activities (e.g., door-to-door, events).
3. What we collect (examples)
We collect only what we reasonably need for campaign purposes, for example:
-
Contact details (name, email, phone).
-
Address and community (e.g., for neighbourhood outreach or lawn-sign delivery).
-
Information you choose to provide about volunteering, event RSVPs, lawn-sign requests, preferred contact method, or requests for voting-day reminders.
-
Supporter status from conversations (e.g., supporter / undecided / not supporting). We treat information about political views or supporter status as sensitive and apply enhanced safeguards.
-
Records we must keep to meet applicable municipal election rules (e.g., certain finance records). If you make a campaign contribution, we collect information required by law (e.g., contributor name and amount) and some of this information may be publicly disclosed in campaign finance filings.
4. How we collect it
-
Information you provide directly (forms, email, phone/text, at the door, or at events).
-
Information observed during outreach (e.g., confirming address details for logistics).
-
Information from publicly available sources or lawfully provided election records, when applicable.
5. Why we use it (purposes)
-
To communicate about the campaign, events, volunteer opportunities, and voting information you request.
-
To plan and deliver campaign logistics (neighbourhood visits, volunteer coordination, lawn-signs).
-
To answer questions and provide assistance you ask for.
-
To meet legal and regulatory obligations under applicable municipal election rules, including public disclosure of certain campaign finance information.
6. Consent
We collect, use, and disclose personal information with your consent or as otherwise permitted by law. You may withdraw consent at any time, subject to legal or contractual limits and reasonable notice, and we’ll explain any consequences of withdrawal.
7. Sharing your information
-
We do not sell personal information.
-
We share personal information only with service providers who support our operations (e.g., secure data hosting or email delivery) and who must protect it and use it only for our purposes.
-
Service providers outside Canada (if any): If we use a service provider outside Canada to collect, use, disclose or store personal information, our policies identify the countries involved and the purposes for which the provider may handle personal information. You can contact the Privacy Officer to obtain information about our policies and practices regarding service providers outside Canada.
-
We may disclose information if required by law.
8. Safeguards
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information and limit access to team members who need it to perform campaign work. If a privacy breach creates a real risk of significant harm, we will notify the Alberta OIPC and affected individuals, as required by law.
9. Retention and deletion
We keep personal information only as long as reasonably necessary for the purposes above or to meet legal obligations, and then securely delete or de-identify it. We retain suppression (do-not-contact) records as needed to honour opt-out requests. We also retain and disclose campaign finance records as required by law, some of which are publicly available.
10. Your choices and rights
You can unsubscribe from campaign emails or texts at any time using the link or instructions provided, or by contacting us. We honour your opt-out across email, text, and calls, including our internal do-not-contact lists. You can request access to, or correction of, your personal information in our custody, subject to limited legal exceptions. We aim to respond to access or correction requests within 45 days (or as permitted by law). You may also contact the Office of the Information and Privacy Commissioner of Alberta (OIPC) about unresolved concerns.
